ZengoMeet Terms of Use

Welcome to ZengoMeet. These Terms of Use ("Terms") are a binding agreement between you and Zengo Hosting LLC, a Florida limited liability company ("Zengo," "we," "us," or "our"), governing your access to and use of the ZengoMeet video conferencing service, including our websites, applications, and related services (collectively, the "Service").

By accessing or using the Service — whether as a Host who starts a meeting or a Guest who joins one — you agree to these Terms. If you do not agree, do not use the Service.

1. The Service

ZengoMeet provides self-hosted, browser-based video, audio, and screen-sharing conferencing. The Service is built on open-source technology and operated on infrastructure that Zengo controls directly, rather than routing your meetings through a third-party video conferencing platform.

The Service is currently provided as a free, standalone conferencing tool. It includes local recording, saved to the recorder's own device, but does not currently include user account profiles, server-side recording, cloud storage of meeting content, or paid plans; see Section 9 for how plans and fees work. Features may be added, changed, or removed over time; see Section 17 for how we handle updates.

2. Eligibility

You must be at least 18 years old, or the age of legal majority in your jurisdiction, to create or host a meeting on ZengoMeet. If you are under that age, you may only join a meeting as a Guest with the involvement of a parent, guardian, or other responsible adult who agrees to these Terms on your behalf. The Service is not directed at children under 13, and we do not knowingly permit anyone under 13 to host a meeting.

3. Hosting a Meeting

To start a meeting, you don't need an account or an email address. Our system automatically generates a one-time, room-specific 4-digit code for the meeting; entering that code correctly grants you Host status for that meeting only. The code is discarded once it has been used to claim Host status and cannot be reused by anyone else afterward. We do not require or collect an email address, phone number, or other personal identifier to become a Host.

4. Joining a Meeting as a Guest

Guests join meetings via a link, without creating an account and without a code — the moderator code is only ever used to claim Host status, never to join as a Guest. A Host may optionally enable a lobby ("waiting room") for a given meeting, in which case Guests wait for the Host to admit them before joining; this is off by default and is a per-meeting choice the Host makes, not a default behavior of the Service. Guests choose a display name that is visible to the Host and other participants; you should not use this display name to impersonate another person.

Because meeting links can grant access to anyone who has them, Hosts are responsible for sharing links only with intended participants and, if broader access control is needed, for enabling the lobby to control who joins.

You agree not to use the Service to:

We may suspend or terminate access for anyone who violates this section, and we may report unlawful activity — including CSAM — to appropriate authorities.

6. Responsibility for Use and Misuse

Your responsibility. You are solely responsible for your own conduct and content, and for the conduct of anyone you invite, admit, or share access with.

No monitoring. We do not monitor, screen, record, review, or moderate meetings or the content of communications, and we have no obligation to do so. We do not verify the identity, age, or intentions of Hosts or Guests.

No responsibility for misuse. To the maximum extent permitted by law, Zengo Hosting LLC is not responsible or liable for any misuse of the Service by any Host, Guest, or other third party, or for any unlawful, harmful, abusive, fraudulent, or infringing conduct or content in or arising from a meeting, whether or not it violates these Terms. This includes:

Our rights, not our duties. We may, but are not required to, investigate reports, remove participants, suspend or end meetings, preserve information, and cooperate with law enforcement or legal process. Our choice not to act in any instance does not waive our rights or create any duty to you or anyone else. To report misuse or abuse, email abuse@zengomeet.com.

Regulated and high-risk use. The Service is not designed for emergency communications and does not connect to emergency services. It is not a substitute for professional medical, legal, financial, or other advice or services. As stated in our FAQ, ZengoMeet is not currently HIPAA compliant or SOC 2 certified, and you are responsible for making sure your use, such as telehealth, education, or use involving children, meets the requirements that apply to you.

7. Recording and Consent

ZengoMeet offers a built-in local recording feature. A local recording is captured in the recorder's browser and saved to the recorder's own device; Zengo does not receive, store, or have access to it, and we do not provide server-side meeting recording. Everyone in the meeting is shown a notice when a local recording starts, and starting one turns off end-to-end encryption for that meeting. If you use that feature, or any third-party screen-recording software, browser extension, or hardware to record a meeting, you — not Zengo — are solely responsible for complying with all applicable consent and wiretapping laws in your jurisdiction (and the jurisdictions of other participants), which in many places require the knowledge or consent of everyone being recorded. If we add server-side recording in the future, we will update these Terms and provide clear notice before the feature is enabled.

8. User Content

"User Content" means anything you say, show, share, or transmit through the Service — audio, video, screen shares, and in-meeting chat messages. You retain all ownership rights in your User Content. You grant Zengo only the limited technical rights necessary to transmit and route your User Content through the Service in real time (for example, relaying your video stream to other participants) — we do not claim ownership of your content, and we do not use it for advertising or sell it to third parties.

You represent that you have the right to share any User Content you transmit and that doing so does not infringe or violate anyone's rights.

9. Plans, Fees, and Billing

Free plan. ZengoMeet currently offers a free plan, which does not require a payment method. We may change the features and limits of the free plan at any time.

Paid plans. We have announced paid plans (currently called Pro and Business) with additional features, but they are not yet available for purchase. Features described as "coming soon" are not available, and we make no promise about whether or when they will be released or what they will include. When a paid plan becomes available, its features, price, billing period, and any trial will be shown before you buy, and those details become part of these Terms.

Billing for paid plans. The following applies once you purchase a paid plan:

Cancellation and refunds. You may cancel a paid plan at any time. Cancellation takes effect at the end of the current billing period, and you keep paid features until then. Except where the law requires otherwise or we state otherwise at the time of purchase, fees are non-refundable and we do not provide refunds or credits for partial billing periods.

Accounts. Once paid plans are available, they will require a host account. We may ask you to sign in with your email address, for example through a one-time sign-in link sent to you. You are responsible for your account and everything done under it.

Changes. We may add, change, or discontinue plans and features. If we discontinue a paid feature you have already paid for, we will give notice and, where the law requires, a pro-rata refund.

10. Intellectual Property

The ZengoMeet name, logo, and brand assets are the property of Zengo Hosting LLC. ZengoMeet is built on open-source software, which we use under the terms of its licenses. Nothing in these Terms transfers ownership of Zengo's trademarks, branding, or proprietary customizations to you.

11. Service Availability

The Service is provided "as is" and "as available." We do not guarantee uninterrupted, error-free, or 100% available service, and we may perform maintenance, updates, or changes that temporarily affect availability. We are not liable for call quality issues caused by your network, device, or third-party internet infrastructure outside our control.

To protect the Service and free up meeting rooms, we may disconnect sessions that appear inactive, such as a background browser tab with no activity for an extended period, and we may limit or block requests that appear automated or abusive.

12. Disclaimer of Warranties

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY WARRANTY ARISING FROM COURSE OF DEALING OR USAGE OF TRADE. WE DO NOT WARRANT THAT THE SERVICE WILL BE SECURE, UNINTERRUPTED, OR FREE OF ERRORS, OR THAT ANY MEETING WILL BE PRIVATE FROM OTHER PARTICIPANTS.

13. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, ZENGO HOSTING LLC AND ITS OFFICERS, EMPLOYEES, AND AGENTS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF DATA, REVENUE, OR PROFITS, ARISING FROM OR RELATED TO YOUR USE OF THE SERVICE, EVEN IF WE HAVE BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. OUR TOTAL LIABILITY FOR ANY CLAIM ARISING FROM THESE TERMS OR THE SERVICE WILL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID US, IF ANY, FOR THE SERVICE IN THE 12 MONTHS BEFORE THE CLAIM AROSE, OR (B) ONE HUNDRED U.S. DOLLARS ($100).

Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above limitations may not apply to you.

14. Indemnification

You agree to indemnify and hold harmless Zengo Hosting LLC and its officers, employees, and agents from any claims, damages, liabilities, and expenses (including reasonable attorneys' fees) arising from your use of the Service, your User Content, the meetings you host or attend, the people you invite, your misuse of the Service, or your violation of these Terms or applicable law.

15. Suspension and Termination

We may suspend or terminate your access to the Service at any time, with or without notice, for conduct that we believe violates these Terms, poses a security risk, or exposes us or other users to liability. You may stop using the Service at any time. Sections of these Terms that by their nature should survive termination (including Sections 6 and 8–14) will survive.

16. Governing Law and Disputes

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles. Any dispute arising from these Terms or the Service will be resolved in the state or federal courts located in Hillsborough County, Florida, and you consent to the personal jurisdiction of those courts. Before filing a claim, we encourage you to contact us at privacy@zengomeet.com so we can try to resolve the issue informally.

17. Changes to These Terms

We may update these Terms from time to time. If we make material changes, we will update the "Last Updated" date above and, where appropriate, provide additional notice (such as a notice on the Service). Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

18. Miscellaneous

If any provision of these Terms is found unenforceable, the remaining provisions will remain in full effect. Our failure to enforce any right or provision is not a waiver of that right. These Terms, together with our Privacy Policy, constitute the entire agreement between you and Zengo regarding the Service.
